Migration Step By Step Import of Mail, Contacts and Calendar.
Pop3 Users Procedure
Prepare your .PST file
Archive all emails older than 1 year.
Select File from the top menu
Goto Tools and select Clean Up Old Items
Select your main email folder and click OK
You will see this archiving notification at the bottom of outlook if the Archiving process is still busy.
Once it go's away your archive process is complete and we can move on to cleaning up the folder names.
Cleanup Folder Names
Make sure that all your folders are named correctly. Folder names may only have Alphanumeric Characters
Any special characters will cause migration to be rejected
Special characters include ,./\*$#@"" ;:
There is no automatic process for this, you will need to manually select and rename each and every folder that has any special characters.
Export to new pst file
Export all mails contacts and emails to a new .pst file.
From the file menu navigate to open & export and click the Import/Export button
Select Export to file and click on next.
Select outlook data file (.pst) and proceed to next
Make sure the the folders you want to export is selected and click next.
Give the new file a name and location that is easy to find again.click on next.
Leave the password fields blank and click on next.
Migration process
Download and install The Zoho Exchange Migration tool
32 bit installer ( older systems windows 7 and older ) https://www.zoho.com/mail/3938191/ZohoExchangeMigrationInstaller.exe
Open your browser https://mail.talismanhire.co.za and sign into your zoho account
Open the zoho migration tool and follow the steps presented
If during the *.pst file detection the pst file is displayed in blue then you can continue.
If it is displayed as red then there are errors in the .PST file that need to be repaired.
This could be due to size (Max 20GB) or due to folders been named incorrectly.
A welcome window will open just click on next.
On the next page confirm that the region is set to US and you will need to copy the link and then open the link in your browser where you have already logged into your Talisman Workplace to link your account to the Zoho Exchange Migration tool.
If you have correctly entered the link into your browser's address bar and opened the page you will be greeted with Zoho account access permission page. you can click on accept.
If that was successful you will see the following page.
you can now minimize your browser and return to the Zoho Exchange Migration tool and click on the verify button.
Below.. Make sure the "migration for" is set to self and click next.
Check that PST Migration is selected and click on next.
On the next page please browse to the folder where you saved your export from outlook.
Confirm that the the file you saved is selected and click next.
On the next page click the "Start Migration Button"
Wait for a while until the process completes click on ok and the quit.
You can now go back to your Talisman Workplace and all you contacts from outlook will be available to use in Zohomail.
IMAP Users Procedure
Your emails have already been migrated from the old @talisman.co.za email address
Calendar Export
To get your Calendar and Contacts across to Zohomail you can follow these steps.
In outlook:
Go to your calendar then click on file menu.
Select Save Calendar
Please be sure to save the new file with a memorable name and in an easy to find location.
Setup new account in outlook
Manually setup your new @talismahire.co.za email account as an Exchange/Activesync account.
Close outlook completely
Open your windows control panel.
Open mail and click on the email accounts button
Make sure the email tab is selected and click on New to start the add account wizard.
Select the manual setup option and click next
Select Exchange ActiveSync option and click next
Enter your details for your Zoho Mail account and be sure to use mysync.zoho.com as the server name
You will see this window on a successful connection.
Make sure to select the new Exchange Activesync account And Set as default
open the Data Files tab
Make sure your new data file is selected and set as default
You can now close all of this and reopen outlook.
Calendar Import
You will now be able to import the Calendar( .ics) file we saved earlier
open the File Menu, Navigate to Open and Export and click on the Import/Export Button
locate the Calendar file created earlier click on OK and then click on Import
Contacts Import
You can drag and drop any or all contacts to the new email contacts folder.
Once the synchronization is complete you can go back to your Talisman Workplace in your browser window and all the emails, contacts and calendars will be there.
